Optimize Time & Energy

Practical and applicable techniques to go from putting out fires to effectively focusing on the top priorities.

Overview

Many leaders and teams feel overloaded, distracted, and constantly pulled in too many directions. Competing priorities, interruptions, unrealistic expectations, and poor coordination can quickly drain both time and energy. This workshop helps participants improve focus, clarify priorities, reduce unnecessary stress, and develop healthier ways of working together. Teams leave with practical tools for improving workload management, communication, coordination, and day-to-day effectiveness.

Who this workshop is right for:

  • Teams and leaders feeling overloaded, reactive, or stretched too thin.
  • Teams struggling with competing priorities and constant interruptions.

Goals & Outcomes

  • Accurately assess how time is currently being used and what’s most important.
  • Understand why priorities falter and how to ensure they get the focus they need.
  • Deploy a step-by-step system for identifying, implementing, and tracking priorities.
  • Develop a culture that respects everyone’s requirements for prioritizing.

Agenda & Activities

Time Study - Before the program, participants will track their activity AND interruptions. They use this data to help them construct a more productive model.

Pre-event Consult (30 minutes) The team leader and the facilitator will review the group information and align on outcomes for the event to ensure a successful program.

Welcome & Warm-Ups (10 minutes) Participants are welcomed into the program through a creative warm-up activity designed to energize the group and encourage conversation.

Introductory Challenge (10-20 minutes) We jump right into the program with a thought-provoking activity that gets participants thinking about focus, priorities, and what they want to gain from the experience.

Time Study Review (20-30 minutes) Participants review the results and trends from their time study and identify habits, interruptions, expectations, and workflow patterns that may be reducing effectiveness and increasing stress.

The One-Page Dashboard (30-45 minutes) Too often, people focus on getting more done without evaluating what is truly worth their time and energy. This exercise helps participants identify their highest priorities and focus areas through a practical one-page planning framework.

The Ideal Week Exercise (20-30 minutes) Participants create a more intentional weekly structure that reflects their priorities, responsibilities, workload, and personal commitments.

The Compass Planning Model (30 minutes) This practical planning model helps participants organize priorities, responsibilities, communication, and follow-through in a way that supports both long-term goals and day-to-day effectiveness.

The Hot Seat (30-45 minutes) In small groups, participants present their action plans and receive feedback, ideas, and practical suggestions from their peers. The group also discusses accountability systems that support follow-through and healthier work habits.

Final Teamwork Challenge (15-20 minutes) This hands-on challenge demonstrates the importance of focus, coordination, and intentional decision-making. The debrief connects the experience to real-world workload, communication, and prioritization challenges.

Wrap-up (5 minutes) The group shares key observations, practical takeaways, and areas they want to focus on moving forward.

Virtual Group Follow-up (45-60 minutes) Approximately one month after the event, your facilitator will host a virtual follow -up session to review key concepts, answer questions, and discuss best practices.
